2021 September Board Meeting

2021 High Plains Little League – September Annual Meeting Minutes

 

 

09/14/2021 - 6:01 pm Meeting come to order.

  • Count of members (4 in room and 1 via phone)
  • Board members (2 Still active and in room)
  • All other board members resigned and removed from data center
  • Quorum attained
  • Agenda read and outlined

     

    Financials:

  • Earnings (42,687.55)
  • Expenditures (31,235.68)
  • Main Expenses (Umpires – 4,123, Registration Refunds – 2650.46, Uniforms – 4,819.42)
  • Field Rental Expenses for both D49 and El Paso County, have not been deducted, there are discrepancies that are being resolved
  • Current Account Total 28,946.71
  • Future financial considerations (See Equipment, Fields and Fundraising)

     

    Equipment:

  • After an inventory and inspection performed on 09/12/2021 of current equipment. HPLL needs to update: Helmets, Catcher gear, Bases, Tees and bats
  • HPLL will also need to purchase additional: Helmets, Catcher’s gear getting more sizes, Catchers gloves for both right and left-handed, bats in more sizes for a verity of divisions including softball
  • Hopefully a large portion of the equipment needs can be filled through our partnership with Dick’s Sporting Goods and their annual donation to the league
  • But there will be needs outside of the dick’s donation so future funds will need to be secured

     

    Fields:

  • D49 has a new system for facility rentals, that we will be paying monthly for our fields next year. so, a new and better field use (hours) tracking system for HPLL needs to be thought of. We are currently paying more then we should be due to lack of communication. As to when fields are not being used.
  • El Paso County has for the most part finished field three and will be available for use in the 2022 season. However, the field is the same size as the red and blue fields, not allowing for older divisions to play on it. We also did not get restrooms in this phase
  • All the county fields need base work: some need replaced, some installed, and some raised
  • All HPLL fields are also in need of new field boxes. Most do not have them at all.
  • All HPLL fields need the locks on the fields, storage boxes and storage rooms changed and synced up.

     

    Fundraising:

     

  • Currently HPLL only has two active sponsors
  • HPLL currently has no fundraising plans in motion
  • Both issues need to be resolved as soon as possible

     

    Community Involvement:

  • HPLL needs to become more involved with the community and business
  • Ideas need to be thought of to get our kids and our name out in the local community
  • To better facilitate this, I will be requesting the new board add a community relationship person to the board going forward. This person would work closely with the Fundraising and Sponsorship Coordinator

     

    HPLL Board:

  • Only two board members have chosen to stay in their current positions, with the Quorum’s approval: John Busby – President/Treasurer and Richard Straub – Safety Officer
  • The Quorum has APPROVED

I would like to thank the HPLL 2020 and 2021 Board for all the help through a very difficult and challenging couple years and especially at tryouts this year. I would also like to thank Jeff and Gina Klimek for all their support and assistance. Then to Scot Raffelson, the only guy I know that after six years of being President of a little league still answers the phone when you need help (ok most of the time..) Because if not for you, I might not have made it through the season.

 

The 2022 season we will start early and hopefully get back to normal. While adding new faces, new fields, new equipment, new traditions, and a new mission for the future
